HD Meeting Software Upgrade 5.10.7 Highlight Reel: Announcing New Features and Enhancements

***In preparation for upcoming enhancements mid-July, we’ll be performing maintenance for our OfficeSuite HD Meeting® solution between Sunday, July 2 at 11pm ET and Monday, July 3 at 5am ET. ***

We are excited to announce a major software upgrade for HD Meeting, our flagship virtual meeting solution. This upgrade includes many new features and enhancements that will make HD Meeting even more powerful and user-friendly. The entire highlight reel is below, but keep in mind this is just the ones worth shouting from the rooftops! Please read the full release notes as referenced In this post for exhaustive information.

How to Upgrade:

To upgrade to the latest version of HD Meeting, simply accept the in-app upgrade in the Windows & macOS versions of the client, or download the latest installer from the HD Meeting website. For mobile please visit the Apple App Store or the Google Play store for your mobile devices on or after July 17. The installer will automatically upgrade your existing installation of HD Meeting. If you encounter a problem with the upgrade please contact your IT support team.

Release highlights:

All Applications (Windows, macOS some limitations on iOS, Android as host):

1.   Customize waiting room with video

a.   Users can add a video when customizing the appearance of the waiting room in the web portal. Participants in the waiting room are able to view the video while they wait for the host to allow them into the meeting. This feature requires version 5.7.3 or higher.

2.   Record voice & video messages

a.   Allow users to record voice & video messages that can be sent in direct messages or group conversations.

3.   Transfer meetings between devices

a.   Seamlessly transition meetings from mobile to desktop and back to mobile, allowing you to take advantage of the mobility of the mobile client and the more feature-rich desktop client to suit your needs.

4.   Presentation slide control (Windows and macOS)

a.   Control progression of presentation slides without needing to ask the participant sharing the presentation for the next slide. Supports presentations in Google Slides, Powerpoint, and Keynote. The account owner and admins can enable this for use at the Account-, Group-, and User-level web settings. This feature requires version 5.8.3 or higher.

5.   Waiting room video options for meetings and webinars– play commercials while in waiting room, or some form of media

6.   Language Interpretation relay enhancement 

a.   Language interpreters can listen to either the main audio or another translator’s audio, which can be useful when a translator doesn’t know the main language being spoken, but knows another language the audio is being translated to.

7.   Focus Mode

a.   In focus mode, only the host can see participants’ videos and profile pictures. You can start Focus Mode from the “More” menu on the toolbar of the desktop client. This setting is available at the account-, group-, and user-level settings pages. This requires the desktop client for Windows or macOS version 5.7.3 or higher.

b.   Attendees – are notified “meeting is in focus mode and only Hosts and Co-hosts can see your video

c.    Provides less distraction and calls attention to the content and speakers – this can be enabled/disabled during a live in session meeting

d.   Allow hosts to enable focus mode when scheduling meetings

8.   New annotation tool: Vanishing Pen (Windows)

a.   In addition to the arrow and spotlight tools, Vanishing Pen will allow the presenter to mark on the shared screen to highlight certain information, but the markings will fade away within a couple of seconds. This provides easier highlighting of information without having to undo or erase annotations.

9.   Dark mode Support

a.   Users can select dark mode as their theme in their client Settings.

10. Show invitee list in Participants panel

a.   Account owners and admins can enable the Show invitee list in Participants panel setting that allows hosts, co-hosts, and alternative hosts to view a Not Joined section in the Participants panel of the meeting. This section lists the people who were invited to the meeting but have not yet joined, as well as their calendar response. This feature requires hosts and users to have the Calendar and Contacts Integration (Google Calendar or Outlook Calendar) configured in the user Profile. This setting is available at the account, group, and user levels, and can be locked at the account or group level. This feature requires version 5.9.6 or higher. This feature was initially available to limited account types, and now is available to all account types.

11. Post-meeting survey

a.   Meeting hosts can create a survey to launch at the end of a meeting. Meeting participants will be prompted with the survey once the meeting ends. This setting can be enabled or disabled at the account, group, or user level, and can be locked at the account or group level.

12. Rotate camera

a.   Users on the desktop client can now rotate their camera video feed 90°. This can be done multiple times to completely flip the video, allowing for inverted cameras configurations.

13. Reintroducing: Active Apps Notifier (Windows)

a.   When an app has real-time access to meeting/webinar content, such as video, audio, and/or chat, the Active Apps Notifier will appear in the same window as the current meeting in the top-left corner next to the encryption icon. Details of which apps have access and which participant approved the app are displayed. Clicking on the app opens the Marketplace page to provide more information about the app and its developer.

14. Share and play video files directly into meeting (Windows & macOS)

a.   The Video option under Advanced share options will allow you to choose a video file, which will be opened by HD Meeting and played in the meeting as shared content. Host has typical video player controls (pause/ play, volume control, full screen, video length/elapsed time), which are not seen by other participants during share. MP4 and MOV files are supported, and max video resolution is 1080p.

15. Share mono or stereo sound (Windows & macOS)

a.   When sharing content and wanting to share computer sound as well, users can select between mono or stereo audio. Only the user sharing their audio will need to be utilizing this client version or higher.

16. Share screen to all Breakout Rooms (Windows & macOS)

a.   When sharing screen in the main session, the host or co-host can share their screen to all active Breakout Rooms. Any active sharing in the breakout sessions are interrupted and any annotation or whiteboarding prompts the sharer to save them before viewing the shared screen from the host. Host and participants must be on version 5.7.0 or higher to utilize and see this feature.

Webinar:

1.   Customize waiting room with video

a.   Users can add a video when customizing the appearance of the waiting room in the web portal. Participants in the waiting room are able to view the video while they wait for the host to allow them into the meeting. This feature requires version 5.7.3 or higher.

2.   Enable/disable Webinar Session Branding

a.   If enabled by an account owner or admin, hosts can customize their webinar session’s appearance by uploading a wallpaper image behind the video tiles, setting a virtual background, and applying name tags to panelists. This feature requires version 5.10.0 or higher to see branding. Panelists that join with a lower version will not have access to the virtual background or name tag.

3.   Presentation slide control (Windows and macOS)

a.   Control progression of presentation slides without needing to ask the participant sharing the presentation for the next slide. Supports presentations in Google Slides, Powerpoint, and Keynote. The account owner and admins can enable this for use at the Account-, Group-, and User-level web settings. This feature requires version 5.8.3 or higher.

4.   Advanced polls and quizzes

a.   Add different question types and images to polls set answers for quizzes -this can all be done right from your eating dashboard on the web

5.   Poll access for alternative hosts

a.   If meeting hosts add alternative hosts to their meeting, they can enable a setting to allow alternative hosts to add or edit polls

6.   Immersive View

a.   Allow hosts to curate case-specific scenes, such as a classroom or boardroom for their meetings or webinars.

7.   Webinar file sharing

a.   Account owners and admins can enable or disable webinar hosts or panelists to share files in a webinar. They can also allow specific file types and set a maximum limit for files.

8.   Increased number of biographies for webinars

a.   Webinar hosts can create up to 10 speaker biographies for the webinar registration page.

9.   Post-meeting survey

a.   Meeting hosts can create a survey to launch at the end of a meeting. Meeting participants will be prompted with the survey once the meeting ends. This setting can be enabled or disabled at the account, group, or user level, and can be locked at the account or group level.

10. Reactions for Webinar

a.   Webinar Attendees can use reactions, similar to reactions in meetings. The stream of submitted reactions are displayed in the bottom-right corner of the main webinar window, visible to the host, panelists, and attendees. This can be controlled within the webinar, as well as at the Account-, Group-, and User-level settings. This requires version 5.9.6 or higher to be able to send and see reactions.

Web/Platform:

1.   Chat Etiquette Tool

a.   Identify defined keywords and text patterns in in-meeting chat, in-webinar chat, and webinar Q&A and prevent users from sharing unwanted messages.

b.   Account owners and admins can create Chat Etiquette policies to identify defined keywords or text patterns/regular expressions (such as account numbers) and then determine what action occurs when a policy is triggered. When a user attempts to send a message through HD Meeting Chat and/or in-meeting and webinar chat that triggers a Chat Etiquette policy, the user is either warned or blocked from sending the message. Chat Etiquette policies are configured at the account level, and can be activated at the account or group level. Admins can create up to 50 policies on the account. This feature requires client version 5.6.0 or higher.

2.   View breakout room activities from main session- May want add breakout room into HD Meeting – Training in ORG bend -

a.   Account owners and admins can enable a breakout room option to allow hosts to view the level of activity in each open breakout room. Hosts and co-hosts can quickly view participants’ audio and video status, if they are sharing their screen, and any active reactions or nonverbal feedback. Once enabled, participants are notified before they join the breakout room that their activity status is shared with the host and any co-hosts. This setting is available at the account, group, and user levels. This feature requires hosts and participants to have client version 5.10.3 or higher for activity statuses to appear.

3.   Advanced polls and quizzes

a.   Add different question types and images to polls set answers for quizzes -this can all be done right from your eating dashboard on the web

4.   Poll access for alternative hosts

a.   If meeting hosts add alternative hosts to their meeting, they can enable a setting to allow alternative hosts to add or edit polls

5.   Immersive View

a.   Allow hosts to curate case-specific scenes, such as a classroom or boardroom for their meetings or webinars.

6.   Custom filters

a.   Account admins can upload custom frame or foreground stickers for users on their account to use. Images must be in either PNG or JPG file format and can be up to 1 MB in size. Users can select these filters in the desktop client.

7.   Stop incoming video

a.   Users in a meeting can easily disable all incoming videos. This may be done to preserve bandwidth for shared content, or to avoid mental fatigue from viewing multiple, active video participants. The account owner and admins can enable this for use in meetings at the Account-, Group-, and User-level web settings. This feature requires client version 5.8.0 or higher.

  2. The following information will no longer be visible to IT administrators for participants external to their organization. In this release, CRC ports are not able to be verified as part of a specific organization.
  3. MAC address
  4. Camera (example: “Integrated Camera”)
  5. Device (example: “Windows”)
  6. Domain
  7. Hard Disk ID
  8. Microphone (example: “External Microphone”)
  9. Speaker (example: “External Headphones”)

9.   Share links to messages and channels in HD Meeting Chat.

a.   When enabled, a user can create shareable links to public channels or specific messages in the channel, and then share links within or outside of HD Meeting to open directly in HD Meeting Chat. Only users with existing access and those who belong to the same account with the channel admin, will be able to join and view referenced channels. This setting is available at the account and group level, and can be locked at either level.

Admin:

1.   Show meeting encryption type in Dashboard

a.   Account owners and admins can view detailed encryption status in Dashboard that is at parity with the status shown in the meeting client. They can see if a meeting used enhanced encryption, end-to-end encryption (E2EE), or if there were any exceptions to encryption.

2.   Enhancements to custom disclaimer

a.   If account owners or admins set up a custom disclaimer, users will be shown disclaimers each time they choose to update a disclaimer and then at the specified frequency. Previously, disclaimers were only shown at the specified frequency and not when updated.

3.   Meeting quality score and network alerts on Dashboard

a.   Account owners and admins monitor the quality score of meetings and break down metrics by participant. The quality score of meetings is based on the mean opinion score (MOS) which ranges from 1 to 5 for a meeting’s quality between bad to good. Network alerts and quality score for audio, video and screen share will be displayed on the Meetings and Webinar dashboard.

4.   Reset virtual backgrounds to default after each meeting

a.   Users can select and use any pre-approved virtual background before or during any HD Meeting. However, after the meeting is over, the user's background will be automatically changed to a virtual background chosen by the admin.

Mobile Specific:

1.   Sign in with Face ID on iOS

2.   Support for sending HD video on mobile devices

a.   Supported devices will be able to enable HD video in app settings and send video up to 1080p.

3.   Support for filters on iOS

a.   HD Meeting mobile app users on iOS can now use video filters, adding fun elements to your meetings and helping break the monotony of meetings.

4.   Picture-in-picture mode on Android

a.   When the HD Meeting app is minimized during an ongoing Meeting or Webinar, users will be able to enter Picture-in-Picture mode, which allows them to still participate in their meeting through video and audio.
