Allocating HD Meeting Licenses
If you have purchased HD Meeting licenses through your Windstream Sales Rep or Customer Advocate, or you have license available, you can use the Allocate tab to assign the spare license.
You can see how many licenses you have available and your total license count across all license types. If there are no licenses available to allocate, as shown for the 500-participant plan license below, you will not see the 500-participant plan listed in the License Type drop list. In this case you must use the Buy tab to buy more 500 participant licenses.
To allocate an available license choose the License Type from the drop list. Select the user’s MyOfficeSuite login from the Select User drop list or choose Unassigned if they do not have one. A second row will appear for you to add the user’s name and email address. Click “Allocate & Send Invite”

Managing HD Meeting Licenses
You can easily manage allocated HD Meeting licenses in the OfficeSuite HD Meeting Users section.
Filter – use the filter at the top of the MyOfficeSuite User and HD Meeting Login columns to find a specific user or choose to see only those users that have a specific plan type (eg. 25 participant plan), or filter the Status column to view Pending users only.
MyOfficeSuite User – select a different MyOfficeSuite Login to associate with an HD Meeting license by clicking the drop list in the MyOfficeSuite User column
Edit User – click the pencil icon to the left of the HD Meeting Login email address to change the name and email address of the user associated with the license
Edit Plan – click the “Edit Plan” button to upgrade or downgrade the license type. For example, you can upgrade a 25-participant plan to a 100-participant plan, or downgrade a 500 participant license to a 25 participant license plan by following the Edit User steps. You will be prompted to choose whether you want to keep the license and assign to someone else later or remove the license from your account.
Resend Welcome Email – if a user’s status is Pending that means they haven’t activated their HD Mtg license. Click the envelope to the right of the Status tab to resend their Welcome Email.
Delete User from Account – click the ‘X’ to the far right to disassociate the user from the HD Meeting license. That license will go back into your pool of licenses to reallocate it when you are ready.
